How do I check in employees (or mark them absent) through Ruvna during an event or drill?
During an emergency event or drill, we use Ruvna to account for the safety of all students, faculty, and staff. Employees check themselves in by opening and logging into the Ruvna app from their mobile device. If you do not have the app on your phone, please review and follow the instructions to install it (iPhone instructions, Android instructions).
The instructions below guide you through the process of checking in other employees or marking them absent. Employees can check in colleagues who are unable to check themselves in. Supervisors should check in employees in their department (if they are able to visually confirm their safety) or mark them absent (if they know they are not on campus that day).
Step 1 - Accessing the employee list
To see the list of employees, click on the “View Staff” button.
Step 2 - Finding the employee to check-in/mark absent
OPTION 1 - Find an individual employee by searching or scrolling
To locate an individual employee in the list, you can either use the “Search for staff” field at the top or scroll through the list.
OPTION 2 - Filter by department
If you are looking to check in employees within a specific department, tap on the “Filter” button at the top at the top of the “Staff” view.
From the “Filter” screen, tap on “Remaining” to only show the employees who have not yet checked in. Then find your department under the “By Group” list, tap on it, then tap “Done” in the top-right corner.
Step 3 - Check in an employee or mark an employee absent
Once you've located the employee, tap the arrow to the right of their name.
Select the appropriate option for that employee ("Check in" or “Mark absent”) [1] then tap the arrow at the top-left corner [2] to go back to the list of employees.
