How do I check in employees (or mark them absent) through Ruvna during an event or drill?

During an emergency event or drill, we use Ruvna to account for the safety of all students, faculty, and staff. Employees check themselves in by opening and logging into the Ruvna app from their mobile device. If you do not have the app on your phone, please review and follow the instructions to install it (iPhone instructions, Android instructions).

The instructions below guide you through the process of checking in other employees or marking them absent. Employees can check in colleagues who are unable to check themselves in. Supervisors should check in employees in their department (if they are able to visually confirm their safety) or mark them absent (if they know they are not on campus that day).

Step 1 - Accessing the employee list

To see the list of employees, click on the “Staff / Grades” button.

Step 2 - Finding the employee to check-in/mark absent

To locate an employee in the list, you can either use the “Search for staff” field at the top or scroll through the list. If you do not see the “Search for staff” field, scroll down a little bit then scroll back up, and it should appear.

If you are going to scroll through the list instead of searching, click the “Remaining” tab at the top so you're only seeing the staff who have not checked in yet instead of all 300+ employees. If you're a supervisor of a large department, it may be helpful to have an accessible list of team members to reference as you scroll through the list.

Step 3 - Check in an employee or mark an employee absent

Once you've located the employee, click the three dots to the right of their name.

Then select the appropriate option for that employee ("Check in" or “Mark absent”) from the menu that appears on the bottom of your screen.
