How do I check in students (or mark them absent) through Ruvna during an event or drill?

During an emergency event or drill, we use Ruvna to account for the safety of all students, faculty, and staff. The instructions below guide you through the process of checking in students or marking them absent. If you do not have the app on your phone, please review and follow the instructions to install it (iPhone instructions, Android instructions).

NOTE: THE SCREENSHOTS AND INSTRUCTIONS BELOW ONLY APPLY WHEN AN EVENT OR DRILL IS ACTIVE. WHERE THERE IS NO ACTIVE DRILL, THE SCREEN WILL LOOK LIKE THIS, AND YOU WILL NOT BE ABLE TO TEST ANY OF THE STEPS DESCRIBED BELOW.

CHECKING IN STUDENTS

To check in a student, you'll first need to find the right group (roster or grade level). Refer to the second half of this article for descriptions of the different options for accessing student lists. Once a drill is active and you have found the correct list, you can check in a student by simply tapping the “Check-in” button to the right of their name.

Once a student has been checked in, the button to the right of their name turns green. If a student has not been checked in, their button stays white.

If you incorrectly check-in a student who is not present, tap the green button. It will turn red. Tap it again to confirm that you want to uncheck the student.

MARKING STUDENTS ABSENT

To mark a student absent, click on their name.

Tap the red “Mark Absent” button in the window that appears.

Tap the “Close” button in the top-right corner to return to the list of students.

OPTIONS FOR FINDING STUDENTS

There are multiple ways to access groups of students. Use the appropriate option below to find the right group of students.

Option 1 - Viewing your rosters

Once the drill/event is active and you have opened and logged into the Ruvna app, find your roster of students by tapping the “Rosters” button at the top.

Then select your roster from the drop-down list.

Option 2 - Viewing another teacher's rosters

If you need to check-in students through another teacher's rosters (because you are subbing, for example), tap the “Staff/Grades” button at the top.

Find the name of the teacher associated with the roster you're looking for, and tap on their name.

Then follow the steps in option 1 to find the right roster (tap "Select Roster, then tap the correct roster from the drop-down list).

Option 3 - Viewing students by grade level

If you need to check in students who are not in any of your rosters, you can also view students by grade level. Tap the “Staff/Grades” button at the top.

Tap the “Grades” button in the bottom-right.

Tap the grade level you're looking for.

Leave the default “ABC” sorting order or select “Status” to show the students who have not been checked in at the top.
